Did you recently lose a loved one with a Square account? If you are the executor of the estate, you may wish to contact Square to see the deceased was owed funds. We will give you customer service options to assist you in this matter. We'll also guide you on how to delete a Square account.
How to Delete Your Own Square Account
Before you sever ties with Square, a company that helps businesses take credit cards, you need to do some prep work.
Before you delete your account, remember that you only get charged if you use Square's service. This means that if you own a seasonal business or are taking time off because of a family emergency, you may not need to delete your Square account in the interim.
Note that you may not want to delete your account before tax season because part of Square’s service may help you gather information essential for completing your tax forms. You will also lose your customer data, which may limit your access to these individuals once you sever ties with Square.
You want to take careful consideration before deleting your Square account. If you wish to continue, learn how to download and save the data you collected during your time with the company.
How to Download Financial Records
Take these steps to download financial records.
Step 1: Log into your account and click on your online dashboard.
Do you use a password manager to save your login information? Doing so can save time. It could offer a valuable option as long as the device is secure.
Step 2: Select “Balance” from your dashboard.
You may need to collect this information for tax purposes. Even if you have already paid your tax bill, consider how you might use this information in the future.
Step 3: Select a date range and location before downloading a report.
Have you already downloaded last year’s information? Perhaps you only need this year's information. Choose a date range for the data you need to collect.
Step 4: Select “Export.”
If you made the appropriate selections, a CSV file should download to your computer. You can open this file in a spreadsheet program so you can organize the data as necessary.
How to Export Your Item Library
You only need to take this step if you would like to secure the information you imported into the Square system for your records. Otherwise, you can skip ahead.
Step 1: Return to your dashboard.
The Square system is easy to navigate. All actions begin with returning to your dashboard.
Step 2: Choose “Actions” and “Export Library.”
This option can be found at the top right-hand corner of the page.
Step 3: Choose the preferred format for your file.
You have the option of choosing an Excel or CSV document.
Step 4: Download the data.
Once you download the document, save and/or print the data.
How to Export Your Customer Directory
Do you have a dedicated customer base? If so, you may feel hesitant to delete their contact information. Here’s how to save this information.
Step 1: Navigate to your account dashboard.
Step 2: Click "Import/Export."
Step 3: Select “Export Customers.”
If your customer data is grouped, consider which information you would like to save and make the appropriate selections.
Step 4: Click “Download.”
Like the previous examples, a CSV file will be available to do with what you wish.
How to Deactivate Your Account
Please note that you will not be able to reactivate a closed account. If you change your mind about using Square, you will need to create a new account for your next business venture.
Step 1: Make sure that you have downloaded all the necessary data.
See the previous sections on how to complete this process.
Step 2: Click on "Account and Settings" from your Square dashboard.
Find the "Personal Information Tab."
Step 3: Select “Deactivate Account.”
You will be asked to submit a reason that you wish to deactivate.
Step 4: Enter the verification code.
You will either receive the verification code via text or email.
Step 5: Confirm the deactivation of the account.
Hit "Confirm" and you should have deactivated your account.
How to Delete a Deceased Loved One’s Square Account
Unfortunately, Square’s Terms of Service doesn't explain what happens when an account holder dies.
Even if your loved one’s business is gone, the estate may still have to pay taxes for the income produced before your loved one died. This means you may need the data from their Square account to settle their estate.
Option 1: Contact Square’s customer service number.
The number for Square’s customer service department is 855-700-6000.
Option 2: Contact a customer service representative through the chat function on Square’s website.
Fortunately, you do not need to be signed in to your loved one’s account to have access to the customer service chat option. You can click on “Resources” from the Square home screen. Scroll down and select “Contact.”
Step 2: Gather the necessary documents and information.
Once you have contacted Square’s customer service department and shared the news of your loved one’s death, you may need to take additional steps to have access to information in the account. You may need to prove your relationship with the individual who passed or submit a copy of the death certificate.
Do You Feel Overwhelmed? Let Us Help!
We know that the loss of a loved one is hard enough. If the death was unexpected, you might feel completely overwhelmed.
The good news is that since Square is a pay-per-use service, contacting the company does not have to be at the top of your priority list as you take care of your loved one’s digital afterlife.
